Creating a professional quote in Belgium

Quote or invoice?
A quote is a proposal: it describes an upcoming service and its price, but only commits the client if they accept it. An invoice, on the other hand, records a service already performed and triggers VAT and accounting obligations. Once the quote is accepted, use the invoice generator to issue the final document.
What a good quote contains
- your details and the client’s;
- a number and a date;
- a precise description of the services or goods proposed;
- the price, per line and in total, excluding and including all taxes;
- a clear validity period;
- your specific terms if any (deposit, deadline, availability…).
And after acceptance?
The accepted quote has no accounting value: it is the invoice that formalises the sale and must follow the mandatory mentions (continuous numbering, VAT mentions…). Simply reuse the same lines in the invoice generator.

What is the difference between a quote and an invoice?
A quote is a commercial proposal, with no fiscal or accounting value: it only commits the client if they accept it. An invoice records a sale or service already performed and triggers VAT and accounting obligations. An accepted quote is then turned into an invoice.
Is a quote mandatory in Belgium?
No, except in certain regulated sectors (e.g. construction work above a certain amount, where a written quote is strongly recommended as proof). In most cases, it is good commercial practice rather than a legal obligation.
Should the quote show VAT?
It is not a legal obligation as it is for an invoice, but it is good practice: showing the VAT regime and the total including VAT avoids unpleasant surprises for the client at invoicing time. The generator applies the regime you choose, just like for an invoice.
How long is a quote valid?
You freely set the validity period (30 days by default in the tool). Beyond that, prices can change (raw materials, rates): it is advisable to clearly state this date on the document, which the generator does automatically.
What happens when the client accepts the quote?
Nothing is automatic: you must then issue the corresponding invoice (with the invoice generator) reusing the same lines. The quote itself creates no VAT obligation.
Is my data sent to a server?
